Admin Assistants Wanted! Working within our clients Document Processing Team, our Admin Assistants play a valuable part in contributing to the first class service provided by the business. The main purpose and overall goal of this role will be to manage incoming and outgoing correspondence, look after the scanning function, archive files and to manage stationary effectively. Duties and Responsibilities *To accept delivery of all incoming mail and ensure this is opened, sorted and scanned into the case management system within specified timescales outlined in the Service Level Agreement (SLA) *To ensure sorting and delivery of incoming mail to appropriate recipients within agreed timescales *To proactively manage the post scanning process including indexation to correct case files and the transfer of original paperwork to case handler case files in line with agreed guidelines and internal SLAs *To manage the post scanning archives ensuring that documents are accurately recorded, filed, stored and shredded as defined by process guidelines *Effective defect management and document recovery from archive as appropriate, identifying trends and issues and assisting in the development of appropriate processes and practices to address defects *To ensure that any original documents are returned to clients as appropriately by secure mail *To ensure that all outgoing mail is processed efficiently by the DPT franked and available for collection by postal services at agreed times *To archive all closed and completed files as required *To be responsible for the printing, sorting and posting of all New Business Team generated documents produced by the post room printers in line with agreed SLAs *To be responsible for managing the stationery supplies and submitting orders to replenish stock as required *To be responsible for ensuring that the franking machine is in sufficient credit at all times to support the outgoing postal costs *Delivery of all of the required services in line with agreed KPIs This is a great entry level role for anyone looking to kick start their office career!
